This role will support our small but mighty Exhibit Project Management team, which oversees Exhibit and Digital Media Production. Primary responsibilities include graphic project management, schedule management support, budget and invoice management, asset tracking and document management. The ideal candidate will have 3-5 years of experience in a related field, with a strong background in project management or coordination within the museum or cultural sector. A comprehensive understanding of stakeholder review cycles, experience working in the field of production-based project management, and proficiency in project management software applications is required.
Responsibilities
Schedule Management and Tracking
- Work with Associate Director of Exhibit Project Management and Senior Associate of Media Production to develop and maintain project schedules for both internal and external stakeholders, ensuring timely completion of milestones.
Project Documentation
- Maintain and update centralized project documents including design, media, and graphic deliverables and their related project matrices.
- Organize project documentation folders, naming conventions, and version control protocols for design, media, and graphic asset packages.
- Support development of Requests for Proposals (RFPs), contracts, and scopes of work by formatting, compiling attachments, and maintaining revision history.
Communication Management
- Set meeting agendas in collaboration with project stakeholders.
- Support coordination in scheduling requested meetings with respective team members.
- Distribute comprehensive meeting minutes to all relevant parties.
- Provide regular project updates, status reports, and progress summaries to keep stakeholders informed.
- Liaise with project stakeholders on an ongoing basis.
- Supports the management and recording of technical discussions to facilitate appropriate technical decisions, resolve project issues and propose solutions to help meet deadlines.
- Consolidates MCAAD feedback on designer and fabricator submittals for issuance to designer and fabricator.
Graphic Project Management
- Provide support to graphic production workflows, including the development, tracking, and maintenance of graphic schedules and graphic review matrices.
- Coordinate with the graphic production manager and designers to organize reviews, compile stakeholder feedback, and assist in version tracking.
- Maintain graphic scope documentation and updates in coordination with exhibit content and design teams.
- Track graphic asset progress against schedules, flag inconsistencies, and ensure design deliverables are aligned with project timelines.
Change Log Support
- Support the Director of Exhibit Project Management by tracking all change order causes and costs in the appropriate project/budget designation. Maintain status of changes and flag priorities, opportunities, and risks.
- Record all formal and informal change requests to include additions, revisions, omissions, and deletions and document all referential material for traceability and justification.

- Must have 3-5 years of experience in project management or coordination within the museum or cultural sector.
- Bachelor’s degree in Project Management, Museum Studies, Architecture, or a related field is required.
- Knowledge of graphic design and production outputs and ability to read and interpret architectural drawings is desirable.
- Experience working in various project management software and the ability to learn new software applications quickly.
- This position will work closely with the Content Development team, ensuring work remains on track and timelines are met. Candidates must be able to work constructively with colleagues to meet project milestones.
- Successful completion of a security background check.
- Have necessary authorizations to work in the United States of America.
Working Conditions & Travel Requirements
This position will work in a professional office environment. Duties will occasionally require work within exhibit installation zones within the exhibit spaces. This person may also be required to travel occasionally to other offices and/or venues as needed, requiring occasional work outside of traditional hours. This position will be working a hybrid model, where you will be expected to report to the Washington, DC office location at a minimum Tuesday-Thursday; this is subject to change. Additional onsite days may be required during key project milestones.
