About MI Strategic Philanthropy

MI Strategic Philanthropy advises individuals and foundations on the most strategic ways to ensure their philanthropic investments make an equitable, transformative impact, and offers tools and recommendations for making philanthropy more effective. In addition to in-depth research, we design and build programs including funding initiatives, research collaboratives, large-scale innovation programs, and high-level events.

MI Strategic Philanthropy is looking for a talented event management specialist with impeccable attention to detail to support project event planning in collaboration with project leads and partner foundations. The Milken Institute integrates high quality, dynamic events as a key part of philanthropic strategy development. The senior associate will work in a variety of ways to drive greater efficiency and ensure the logistical success of the Pillar’s diverse portfolio of events. The senior associate will be responsible for fully detailing assigned events in addition to maintaining the overall organization, record keeping and data management of the team’s event planning processes such as venue research, travel coordination, vendor sourcing, external material creation and attendee communication for all project events throughout the year.

Responsibilities

  • Support event planning efforts for MI Strategic Philanthropy events. These events range from virtual sessions to in-person events, ranging from roundtables and salon dinners, to multi-day retreats.
  • Assist with processing invoices, tracking expenses and other budget management support.
  • Conduct research of and outreach to potential venues such as hotels, restaurants and special event spaces.
  • Track and manage attendees’ registration details—to include travel, food, and accommodations.
  • Function as the liaison between the Institute’s designated travel agent and event attendees to coordinate air travel when necessary.
  • Draft external communications and event related materials.
  • Manage daily correspondence with attendees and be responsive to inquiries, concerns, and logistical questions.
  • Duties as assigned.

Qualifications

  • Bachelor’s degree required with at least (3) years of relevant experience in event planning, hospitality, travel, or venue management.
  • An acute sense of organization and an understanding of process and logistics.
  • Ability to balance multiple projects at a time in a fast-paced environment and handle large volumes of data.
  • Innovative problem-solver who can generate workable solutions and resolve issues. Always thinking of how to make something better, smarter, and more efficient.
  • Motivated self-starter and hard worker displaying high productivity and follow-through in all areas of responsibility.
  • Team-oriented individual who takes direction well, seeks out tasks when work is completed and assists colleagues to ensure collective goals and deadlines are achieved.
  • An attitude of “no job is too small” and meticulous attention to detail.
  • Strong interpersonal skills and ability to interact positively and confidently with all levels of an organization.
  • Effective oral and written communication skills.
  • May be required to travel periodically to staff off-site events.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint). Familiarity with Cvent and Salesforce is a plus.

Working Conditions & Travel Requirements

This position will work in a professional office environment on a hybrid schedule consisting of three (3) days per week, reporting in-person to the Washington, DC office location (Tuesday – Thursday), with the remaining two (2) days working remotely. Please understand, this schedule is subject to change at the Institute’s sole discretion.

This person will also be required to travel occasionally to other offices and/or venues to assist with events as needed, requiring occasional work outside of traditional hours. International along with domestic travel is possible. Additionally, this position requires interacting virtually on a regular basis with Milken Institute staff based in other locations in the United States and around the world.
